before you begin screens are representative for training purposes and may differ slightly from your role’s and system’s appearance. these instructions cover how to use the construction and materials™ module in support of tennessee dot processes; however, these are not instructions on the tdot requirements. you can access tdot’s qrgs on the left-hand side bar of the player by click on resources and opening the pdf file. to move from slide to slide, use the next and back navigation arrows near the progress bar. alternatively, you can press enter on your keyboard. some of the screens in this training have a scroll bar on the right side of the screen. the scroll bar will only work on the steps where scrolling up and down are part of the instructions.
overview – managing payment estimate exceptions in this training, you will learn how to manage payment estimates. this training includes the following exercises: exercise 1 – processing exceptions on a payment estimate a payment estimate is a payment to the contractor for work performed on the contract. payment estimate exceptions will need to be evaluated like sitemanager discrepancies. payment estimate exception settings define how each exception must be addressed before a payment estimate can be approved.
exercise 1 – processing exceptions on a payment estimate the exceptions tab on the contract payment estimate summary lists exceptions and discrepancies generated for the payment estimate. you address an exception by changing its status to unresolved, acknowledged, or overridden. the unresolved status is used when the agency wants to make the user aware of the exception and no further processing is necessary. the acknowledged status is used when the agency wants positive acknowledgement of the exception. insufficient materials exceptions must be acknowledged. never override insufficient materials. the overridden status should not be used. once a status is saved for an exception, it cannot be changed without re-generating the payment estimate. after payment estimate exceptions are addressed as needed, the system evaluates that all the exceptions have been addressed properly. if they have not, errors will be displayed, and the payment estimate will not be allowed to move into the pending approval status until the exception errors are resolved. this example begins from the aashtoware project dashboard.

to the right, click and type 02/15/2023 11:00 pm. verify that the payment estimate type selection is correct. then, click the period end date field and type 02/15/2023 11:00 pm and press enter on your keyboard.

to the right, click ok. click the ok button to re-generate the payment estimate for the time period. note: when you recreate the payment estimate with the same time period, a modal will appear to ask if you want to create a new payment estimate as one already exists.

the pending draft dwr exception is now resolved. you have successfully completed the processing exceptions on a payment estimate. click the next arrow to continue. note: you would continue this process for each tdot payment estimate exception type from the filters drop-down menu.
the table below outlines the different payment estimate exceptions types, their filter names, the actions required to resolve the exceptions, and the status required if it is unresolved. click the next arrow to continue.
